Givsum Case Study: Project Face Shield
Governor of Rotary District 5320, Marc Aarons, moved to action when Covid-19 hit everyone’s life, creating Project Face Shield. Frontline medical workers and staff were in desperate need for face shields to protect themselves from the most common transmission method, a simple cough. Marc assembled a team that was determined to slow the spread of Covid-19. The team found a local provider of medical grade face shields to supply them with assembly kits, so they could deliver shields to hospitals, senior facilities, and those at greatest risk.
Challenges & Objectives
In three days pull together 300+ volunteers, organize them to travel to 7 locations, assign shifts, communicate safety requirements, collect release forms, and solicit donations digitally from members who can’t participate as volunteers.
Givsum Solution
Quickly create a volunteer and fundraising campaign page, organize the “volunteer desk” with 22 shifts and 5 roles, publish the page, email the page to potential supporters/Rotary members, and start recruiting volunteers and collecting donations.
Volunteer Management
The event page included a volunteer button that when clicked required the volunteer to select their preferred location and time slot, as well as their affiliation with Rotary International. Once submitted, the Rotary District admin placed the volunteer on the waitlist or accepted and assigned them a shift and role. Each accepted volunteer received an automated email notification that included their shift/role, along with links for completing a release form.
Fundraising
The event page included a donate button in which donors could make a one-time or ongoing donation. All donors received an automated receipt following their donation.
Results
The campaign raised over $20,000 in donations and 800+ volunteers delivered 2,850 volunteer hours, in which 45,000 face shields were constructed and distributed to Orange County hospitals. Through Givsum, the District has access to all the volunteer and donor data, and utilizing the platform’s email system they were able to send a thank you email to all participants. Over 50% of the volunteers were not Rotarians, which resulted in an engagement opportunity to recruit new members.
